Preparing an electrical parts list for quotation

Mingkong · Updated

A useful electrical parts list connects each requested component to its purpose. It can combine PLC modules, drives, relays, power supplies and equipment accessories from different manufacturers. Begin with what you know and mark the remaining questions clearly.

Give every line a clear reference

Use a line number, component description, original brand, full ordering code and quantity. Keep model suffixes and revision details where they appear on the source document. If the code is incomplete, say so rather than filling the gap from a similar-looking product.

Separate exact replacements from new requirements

For an exact replacement, provide the installed label and equipment reference. For a new assembly, describe the required function and available drawing. State whether the original brand is mandatory or alternatives can be reviewed.

Include the interface information you have

  • Electrical parts: voltage, current, material and mounting dimensions where relevant.
  • Contactors and relays: coil voltage, contact arrangement and intended load.
  • Drives: motor nameplate, supply and operating duty.
  • PLC and HMI: controller family, I/O, communication and software version.
  • Sensors: measured condition, supply, signal and connection.

Unknown items can be clarified during selection. An incomplete specification does not prevent an initial enquiry.

Set the delivery and document requirements

Add the destination, quantities and required timing. Say whether the date refers to dispatch or arrival. Identify any drawing, inspection record, manufacturer document, packaging or labelling requirement needed for your purchase.

Make proposed alternatives easy to review

Keep the requested product and the offered alternative on separate lines or in clearly labelled columns. Review the brand, full model, relevant differences, included accessories and support arrangements before order confirmation. Similar appearance alone does not establish interchangeability.

Share only the information needed for the enquiry

Remove unrelated customer names, personal details and confidential project references from photographs or documents. Attach up to three PDF, JPG or PNG files, up to 10 MB each, to the enquiry form. For additional material, email salesjames@mkelecsolution.com and include the enquiry reference.
